Job Description

Summary
The Conference Services Manager is a versatile position working with all elements of conference service events. The position will oversee the smooth operation of individual conferences, support some vendor relations, and support overall conference services operations.

The budgeted salary range for this position is $58,000-$67,000. Actual pay will be dependent on budget and experience, all our salaried roles are eligible for bonus.

Essential Job Functions
• Create the on-property desired event to meet and exceed clients' needs and expectations
• Collaborate with other departments such as banquet, culinary, and housekeeping to ensure each piece of the event is successfully designed and accomplished
• Audit time and labor daily to ensure payroll and daily labor report accuracy
• Design innovative set-ups, menus, and activities for groups and quickly problem solve developing alternatives when an event issue arises
• Facilitate pre and post-event meetings with group planner and the full hotel team to ensure flawless execution of each event
• Demonstrate a thorough working knowledge of sales techniques including negotiating and closing skills, as well as, upselling
• Manage audio/visual needs and equipment and operate audio/visual as a profit center
• Monitor group room blocks and pick up generating detailed resumes for all hotel operating departments
• Develop relationships with outside vendors to ensure client satisfaction for all events/groups
• Ensure a safe and healthy environment for our guests following all hotel policies and procedures
• All other duties as assigned

Qualifications

• Bachelor’s degree preferred
• Two years related working experience
• Flexibility to work in a fast-paced environment with constant changes
• Ability to communicate with multiple heads of departments and vendor leads
• Experience in consensus building, decision making, and prioritization
• Trust in handling confidential information and correspondence
• Ability to work independently with little instruction or supervision
• Proficient in Microsoft Office and specifically Excel
• Demonstrated ability in analysis, planning, coordination and data management
• General office/administrative/budget experience

Supervision Given and Received
Given: Exercises direct supervision over group sales team with the Limelight Director of Sales. Responsibilities include, but are not limited to, frequent and detailed review of work, training, planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
Received: Works under the general supervision of Director of Catering & Conference Services. Receives continuing or individual assignments according to supervisor’s directions and may perform routine tasks. Expectations of the quality, quantity and deadlines are clearly set. Instructions, advice and assistance available as needed. Work is reviewed on demand or during scheduled check-ins.

Work Environment and Physical Demands
• While in office: Ability to stand, type and sit at desk/computer for most of the work shift executing repetitive movements. No adverse or hazardous conditions. Not required, but preferred to be able to occasionally lift, push or pull 25 lbs. individually or with assistance.
• While supporting events: Ability to reach, crouch, kneel, stand, bend or be on your feet for extended periods of time. Regularly work in wet, cold, hot conditions requiring the use of protective apparel/equipment to prevent exposure to the elements and may be required to walk on slippery and uneven surfaces. Must be able to occasionally lift, push or pull up to 50 lbs. individually or with assistance (weight limits can vary according to position, but no more than 50).
