SUMMARY

The Administrative Coordinator works with the Culinary Managers in the Main Kitchen and the Culinary Director as needed to assist in performing, updating, organizing, and executing various managerial tasks to facilitate the operation of the culinary department. The position requires training on the systems used in the kitchen and excellent organizational and communication skills. The position requires moderate experience with Microsoft Office and professional correspondence in communications especially with individuals outside of the IALW organization.

ESSENTIAL FUNCTIONS

1. Oversight of labor, adjusting employee punches as needed, communicating hours and OT with managers.

2. Assisting with logs, meetings, check-in/out for employee accommodations and organizing internship and J1 students.

3. Compiling and organizing recruitment and onboarding needs with HR and the culinary team as directed.

4. Daily and weekly menu document creation in drive as directed by sous chefs, including stayover menu options, and special menus.

5. Tracking of all CIP guests and forecasting upcoming CIPs.

6. Daily coordination of SDRs, SOFs, and CIPs with staff and culinary team.

7. Assisting with updates on kitchen drive and keeping the kitchen documents organized and easily accessible.

8. Organizing service ware and non-food inventory for kitchen operations.

9. Assisting with calendar, invites, meeting organization and interviews as directed by senior culinary managers.

10. Ordering and purchase of small non-food items as approved by senior culinary managers.

11. Coordination with kitchen and other departments to handle any inter-departmental project or need.

12. Assistance with organization of employee housing and tracking as needed and directed.

13. Assistance with submission of forms for all HR related functions from the kitchen.

14. Assistance with additional non-culinary projects with the kitchen managers, as approved by senior culinary management.

15. Following guidance and direction from senior management effectively, efficiently, and appropriately.

16. Other related assignments as necessary.

QUALIFICATIONS

Required

4. Moderate to strong Computer skills, specifically with software used by The Inn and Microsoft Office Suite

5. Eagerness to continue to improve and grow culinary operations

6. Self-motivated, completing directed and assigned work in a timely and independent manner

7. Ability to identify inefficiencies and offer options/ideas for improvement

Desirable

1. Positive attitude

2. Associates Degree or higher, preferably in business or hospitality

3. Strong sense of urgency

4. Holistic understanding of the Inn and specifically the kitchen operations

SKILLS

1. Excellent typing and communication skills

2. Strong understanding of all software used in the kitchen office

4. Proficiency in ordering, organization, and follow-up communication

5. Ability to teach and train others as necessitated

6. Ability to comprehend all management directives and goals to ensure efficiency in all aspects of culinary administration

7. Moderate to strong understanding of Microsoft Office Suite, specifically excel, word, publisher, and outlook

PHYSICAL DEMANDS

1. Ability to work in front of a computer screen for 1–2-hour periods

2. Ability to lift and file up to 10-30 pounds as needed

3. Ability type for 1–2-hour periods

4. Ability and capacity to work up to and on occasion exceeding 60 hours per week as business demands
