Position Overview
The Sales Office Manager serves as the central liaison between the Sales Department and all other departments within the property. This role ensures smooth communication, accurate documentation, and the seamless execution of tasks that support sales, events, catering, and guest services. The ideal candidate is highly organized, proficient in office systems, and skilled at managing multiple priorities in a fast-paced hospitality environment.
Key Responsibilities
- Act as the primary link between the Sales Department and other property departments to coordinate communications, In-house requests, and follow-ups.
- Manage daily office operations, including email correspondence, phone calls, mail handling, and office supply inventory.
- Enter group resumes, inquiries, and event details in systems such as HMS, Salesforce, and SharePoint.
- Create, edit, and distribute documents using Microsoft Office Suite, Outlook, and Adobe.
- In charge of building and distributing BEO (Banquet Event Order) packets all over the property.
- Support departmental reporting, coding, and coordination with accounting for invoices, receipts, and check deliveries.
- Coordinate VIP amenities, welcome notes, and guest service requests in collaboration with other departments.
- Organize and update digital and physical records files, training folders, catering menus, and calendars.
- Assist with monthly, quarterly, and yearly tasks such as updating warehouse orders, extension lists, scheduling meetings, and preparing reports.

- Proven experience in hospitality administration or office management
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe tools (Acrobat and InDesign).
- Strong organizational, multitasking, and problem-solving skills.
- Verbal and written communication abilities.
- Ability to work independently and collaboratively across departments.
- Detail-oriented with a proactive and professional approach.
